This role is responsible for maintaining and administrating the vendor management program for the organization. Additionally, this role combines administrative assistance with project management, safety & security, and general corporate support functions to enhance organizational efficiency.Essential Functions:Monitors contract timeline notifications and assist business owners with vendor contract renewals and/or cancellation while acting as liaison with the credit union's vendor management platform. Assists VP of Corporate Support in yearly due diligence and regulatory auditing process. Ensures that appropriate due diligence reviews are conducted as required based on vendor risk rating.Ensures that the organization maintains appropriate and well-managed third-party vendor relationships across the organization. Works with business owners to ensure that appropriate due diligence is exercised in all phases of third-party relationships and that they are holding vendors accountable for their actions in relation to the contract and service agreements.Ensure risk assessments and risk ratings are completed for all current and future third-party vendors.In conjunction with HR and Training, coordinates and facilitates vendor management training to all business owners across the organization to establish clear contract/vendor management expectations.Provides administrative support in planning, coordinating, and monitoring the functions of the Project Management Office. Tracks timelines and deliverables to ensure successful completion of projects. Assists VP of Corporate Support with ongoing project management and leadership discussions in their absence.Assists in budget preparation, expense tracking, financial reporting, and policy & procedure updates as directed by the VP of Corporate Support.Reconciles the Monthly Departmental Visa report and provides administrative assistance to the Corporate Support and cross-functional teams. Assists in processing invoices in a timely manner for the department, and assists in maintaining supplies, equipment, and facilities.Supports VP of Corporate Support with audits by preparing documentation and coordination.Generates an atmosphere that fosters energy, enthusiasm, creativity, and accountability.Cross sells credit union products and services to members. This role routinely uses standard office equipment such as computers, phones, printers, and filing cabinets.Physical Demands:This is an active role, requiring the ability to stand, bend, stoop and move around part of the day. Must be able to lift to 40 lbs. Hand dexterity is needed for keyboarding. Must be able to move from one area to another throughout one-floor office layout. Stairs and elevators provided for movement from one floor to another and to enter and exit buildings. Must be able to operate general office equipment such as copier, printer, fax machine, scanner, phone, hole puncher, and stapler, as well as mailroom equipment.Travel:This position requires some travel, predominantly within Belco's field of membership over a seven-county footprint.Minimum Required Education and Experience:A High School Diploma with a minimum of 2 years of similar or related experience, including time spent in preparatory roles.Preferred Education and Experience:A two-year College Degree in Business Administration or Management. A Certified Regulatory Vendor Program Manager (CRVPM) certification or the ability to acquire such certification would be beneficial.Additional Eligibility Qualifications:Good organizational, time management and attention-to-detail skills.
