Accounts Payable & Talent Operations Specialist Benefits & Compensation Competitive salary Hybrid work schedule: 4 days remote, 1 day in office Comprehensive insurance package10 paid holidays Paid time off (PTO)401KAccounts Payable & Talent Operations Specialist Requirements & Qualifications Minimum 2 years of experience in accounts payable, bookkeeping, or accounting operations Strong working knowledge of Form W-9 requirements, tax classifications, and TIN reporting Proven experience handling W-9 and 1099 discrepancies and obtaining corrected documentation Experience with Bill.com is a must; familiarity with QuickBooks Online or similar software a plus Excellent attention to detail and record-keeping skills Strong written and verbal communication skills with professionalism and patience in guiding vendors Highly organized with ability to manage multiple tasks and follow-ups effectively Ability to handle confidential financial and tax information discreetly Accounts Payable & Talent Operations Specialist Day-to-Day Responsibilities Process invoices through Bill.com, ensuring accuracy, approvals, coding, and payment terms are met Collaborate with booking to onboard new talent and vendors, verifying completion of payment and tax documents Maintain accurate payee records including legal names, tax classifications, TINs, and payment details Serve as primary contact for talent and vendors on invoice status, Bill.com access, and payment inquiries Review and verify W-9 forms, working directly with individuals to resolve errors or incomplete information Assist with 1099 preparation and year-end tax documentation review Troubleshoot routine payment and onboarding issues and coordinate resolution with internal teams Maintain documentation to support accounts payable accuracy and month-end processes Contribute to process improvements for accounts payable and talent onboarding procedures This role suits a detail-oriented professional eager to ensure efficient, accurate vendor and talent payments while supporting a growing entertainment business.
