Overview:
We are seeking a Site Analyst to support inventory accuracy, exception resolution, and documentation within a third-party logistics (3PL) distribution center. This role serves as the primary on-site point of contact for inventory accuracy, exception resolution, and documentation coordination between the 3PL and its business partners. This is a visible, business-critical function working within an established team. The core of the role is inventory accuracy and exception handling, in that order. Success is measured by how effectively exceptions are investigated and resolved, rather than transaction throughput.
Responsibilities:
Own inventory control and reconciliation at the assigned site: coordinate cycle counts, perform physical-to-system reconciliation, investigate discrepancies, and track them to resolution. Own exception handling from discovery through resolution: identify, triage, and drive closure on count mismatches, receipt and shipment errors, short or damaged product, aged in-transits, and system-to-system data breaks, escalating to the appropriate owner. Perform daily paperwork reconciliation, including BOL-to-system count verification and inspection sheet collection and filing, closing mismatches the same day where possible. Coordinate release readiness: track batch and distribution release status for material at the site, confirm documentation completeness ahead of release, and flag missing records to the appropriate Quality contact. Reconcile shipment records across temperature-monitoring, serialization, visibility, and ERP systems, following up directly with origin plants where records are incomplete. Monitor inbound and outbound transaction flows for the site (EDI, IDoc, and serialization data), identify failures, and drive resolution with 3PL and IT partners. Administer quality and corrective-action records, including data entry, status tracking, and overdue escalation. Administrative ownership only; record accountability sits with a designated owner. Deliver a written end-of-shift handoff covering open discrepancies, unreleased holds, damage pending disposition, and any ongoing escalations. Perform additional duties as needed to support evolving 3PL operations.
Requirements:
Inventory management: Cycle counting and inventory reconciliation in a distribution center or 3PL environment, including root-cause investigation of discrepancies.
Exception handling: Demonstrated ability to own an exception from discovery through resolution, including knowing who to escalate to and why. Candidates should be prepared to describe a specific case worked end to end.
Working knowledge of inventory transactions in an ERP or WMS environment; familiarity with hold, quarantine, and unreleased material status.
Documentation discipline: Accurate, contemporaneous records and clear written handoffs, with the ability to operate in a regulated environment where the record matters as much as the action.
Strong written and verbal communication skills, with the ability to work within an established team.
On-site presence at the assigned facility, availability for the late-shift rotation, and the ability to work weekends or overtime as needed.
Preferred Qualifications:
SAP experience.
Pharmaceutical, medical device, or other regulated supply chain experience.
Exposure to EDI, IDoc, or serialization data flows. This is useful but not a screening criterion; training on internal systems is provided after hiring.
Experience with handheld scanning and mobile devices in a warehouse setting.
