About the role
The Outpatient Business Office Trainer is responsible for developing, coordinating, and delivering comprehensive training programs that ensure all Outpatient Business Office team members possess the knowledge, skills, and competencies necessary to perform their roles effectively. This position serves as the subject matter expert for revenue cycle education, onboarding, quality improvement, and ongoing staff development. The Trainer collaborates closely with leadership, supervisors, quality teams, credentialing, managed care, and operational stakeholders to maintain training programs that support organizational goals related to cash collections, denial prevention, compliance, customer service, and operational excellence.
Responsibilities:
Design, coordinate, and facilitate a structured onboarding program for all new Outpatient Business Office employees. Develop role-specific learning paths that include classroom instruction, system training, job shadowing, and hands-on practice. Coordinate structured shadowing experiences with experienced staff members. Establish competency checkpoints throughout the onboarding period to validate knowledge and readiness for independent work. Conduct regular progress reviews with new hires and supervisors during the onboarding period. Maintain onboarding schedules, competency documentation, and training records. Develop and deliver ongoing education programs for existing staff. Communicate updates related to: Insurance payer requirementsCARC/RARC updates Regulatory and compliance requirements Organizational policies and procedures Train staff on workflow changes involving systems including: Meditech Thera Office Quadax Clearinghouse workflows Payment posting processes Coordinate refresher training sessions based on quality trends and operational initiatives. Support implementation of new software, technology, and process improvements. Develop and maintain specialized training programs for complex outpatient billing workflows.
Qualifications:
Comprehensive understanding of the outpatient healthcare revenue cycle. Knowledge of insurance billing requirements including Medicare, Medicaid, commercial insurance, workers' compensation, PIP, Med Pay, and managed care. Understanding of denial management, payment posting, accounts receivable, credit balances, and appeals. Strong instructional design and adult learning principles. Excellent presentation and facilitation skills. Ability to simplify complex revenue cycle concepts into understandable learning content. Excellent written and verbal communication skills. Strong organizational and project management abilities. Ability to analyze quality data and identify educational opportunities. Proficiency with Microsoft Office applications. Experience with Meditech, Thera Office, Quadax, and healthcare billing software preferred.
