Position Summary:
The HR Assistant provides administrative support to the Human Resources Department and assists with on-boarding, employee records, training tracking, licensing, and day to day HR processes. This position requires strong organization, attention to detail, follow through, confidentiality, and the ability to work independently while supporting employees and management across all locations.
Essential Duties and Responsibilities:
Maintain accurate and organized employee personnel files and HR records.
Assist with new hire on-boarding, including preparing paperwork, coordinating on-boarding requirements, and ensuring all required documentation is completed.
Assist employees with the ADP Workforce Now employee app, including basic questions regarding access, timekeeping, pay information, and other employee self service functions.
Monitor and follow up with employees and managers regarding required training and ensure training records are kept current.
Track and follow up on required sales licenses and renewals, ensuring employees maintain active and compliant licenses.
Assist with monthly license audits and follow up on outstanding renewals or documentation.
Maintain HR tracking spreadsheets, reports, and employee records.
Assist with employee changes, transfers, promotions, and other HR documentation.
Help ensure required forms and documentation are completed accurately and timely.
Provide administrative support for HR projects, audits, and compliance requirements.
Respond to routine employee questions and direct more complex questions to the appropriate HR team member.
Maintain confidentiality of employee information and HR records.
Assist with other HR administrative duties and projects as assigned.
Qualifications:
Friendly, approachable, and comfortable talking with employees.
Previous administrative, HR, office, or customer service experience preferred.
Strong organizational and time management skills.
Excellent attention to detail and follow through.
Comfortable working with computer systems and learning new software.
Ability to maintain confidentiality and handle sensitive employee information professionally.
Strong written and verbal communication skills.
Ability to communicate effectively with employees at all levels.
Proficiency with Microsoft Office, particularly Excel, preferred.
Experience with ADP Workforce Now or another HRIS is a plus.
