Position Summary: We are seeking a professional, organized, and dependable Temporary Administrative Assistant to provide administrative, membership, marketing, and event support during a maternity leave. This position will help ensure the continued efficiency of daily operations by managing routine office responsibilities, assisting members, supporting events, and maintaining accurate records. The ideal candidate is detail-oriented, customer-service focused, comfortable managing multiple priorities, and able to communicate professionally with members, staff, vendors, and other stakeholders.
Key Responsibilities: Member ServicesProcess membership payments and verify payment information for accuracy. Update member contact information, addresses, and account records. Assist with membership data entry and database maintenance. Organize and file membership-related paperwork and documentation. Respond to routine member questions and provide professional customer service. Office AdministrationAnswer incoming phone calls and check voicemail messages. Schedule appointments, meetings, and other calendar activities. Assist with maintaining and updating organizational calendars. Take and distribute meeting minutes as needed. Prepare mailings and other correspondence. Scan, organize, file, and maintain office documents and records. Provide general administrative support to staff and leadership as needed. Event SupportProcess event registrations and maintain accurate registration lists. Prepare and print attendee lists, name badges, signage, and other event materials. Assemble registration packets and organize supplies for upcoming events. Assist with event setup and teardown. Provide on-site event support as needed, including registration, guest assistance, and organization of event materials. Help ensure event materials and supplies are properly organized before and after events. Marketing SupportAssist with email distributions and member communications. Proofread documents, emails, and event materials for accuracy. Maintain and update registration and distribution lists. Assist with capturing photo content at events and activities for use on social media. Provide general support for marketing and communications projects as assigned.
Preferred Qualifications: Previous experience in administrative support, office administration, customer service, or a related roleProficiency in Microsoft Office, including Outlook, Word, and Excel. Strong organizational and time-management skills. Ability to prioritize multiple responsibilities and meet competing deadlines. Strong attention to detail and accuracy in data entry and recordkeeping. Professional verbal and written communication skills. Comfortable interacting with members, guests, vendors, and organizational leadership. Ability and willingness to learn association management and CRM software; training will be provided. Ability to work independently while also collaborating effectively with a team. Willingness and availability to assist with event setup, teardown, and on-site event support as required.
