About the role

About the Role: Pinnacle Partners is recruiting for a Administrative Coordinator for a direct-hire opportunity in Indianapolis. This position is fully onsite and offers a Monday–Friday schedule from 8:00 a.m.–4:30 p.m. The Central Service Coordinator will support back-office operations, with a strong focus on maintaining accurate paper and electronic files.
Key Responsibilities:
  • Maintain paper and electronic grant files, including scanning documents and attaching applications, reports, and other documents to the appropriate electronic files
  • Provide back-up receptionist coverage, including answering and transferring calls and greeting staff and visitors
  • Process UPS mailings, labels, postage, and other mailing requests
  • Provide back-up support for daily incoming and outgoing mail
  • Assist with assembling the board agenda five times per year
  • Coordinate copier repairs and maintenance
  • Assist with conference room reservations and setup details
  • Perform other basic office and clerical duties
Requirements:
  • 2+ years of professional work experience
  • Strong attention to detail and accuracy
  • Proven ability to collaborate and work well within a team
  • Strong communication skills
  • Experience with Microsoft 365, particularly Outlook and Word
  • Comfortable providing rotating receptionist coverage
  • Ability to handle confidential information with discretion
  • Professional, dependable, and committed to producing accurate work
  • Ability to manage periods of higher-volume filing while maintaining accuracy
Preferred: Previous administrative, clerical, or office support experience
Stable work history and demonstrated job tenure
