Receptionist/Mail CoordinatorISS offers a competitive compensation, with an hourly pay range of $20.00 - $20.00 per hour. The work hours for this position are Mon-Fri, 7:30 am - 4:30 pm. This role serves as the first point of contact for all visitors and colleagues, creating a welcoming, professional, and seamless front-of-house experience. From the moment someone enters the building, this position sets the tone through presence, service, and attention to detail. In addition to delivering an exceptional guest experience, this role supports essential site operations through coordination of mailroom, shipping/receiving, and courier services. These responsibilities are carried out with the same level of care, organization, and accountability that defines the front desk experience. Success in this role means maintaining a strong, visible lobby presence while ensuring reliable and efficient operational support behind the scenes. Consistently delivers a welcoming, polished, and professional guest experience Maintains strong situational awareness and ownership of the lobby environment Effectively balances front desk responsibilities with mailroom and operational tasks Demonstrates reliability, accountability, and attention to detail Communicates clearly and builds trust with colleagues, leaders, and visitors Adapts to changing needs while maintaining a high standard of service Partner with the Workplace Experience Manager, Facilities Manager, and other account leadership to support daily operations Communicate effectively across the business unit to ensure alignment and information sharing Collaborate with team members to deliver a consistent and high-quality experience Support cross-functional teams as needed to meet site and customer needs High School Diploma required; Associate's or Bachelor's degree preferred 2+ years in a front-facing customer service, reception, or hospitality role Experience in a corporate or professional services environment preferred Exposure to mailroom, shipping/receiving, or logistics support is a plus Strong interpersonal presence with the ability to engage confidently at all levels, including executives Highly organized with the ability to manage multiple priorities Calm, professional, and solutions-oriented in high-pressure or high-traffic situations Proficient in Microsoft Office and basic administrative systems Customer service-oriented with a focus on creating positive and memorable experiences Reliable, accountable, and proactive in approach Team-oriented with a willingness to step in and support where needed Welcome, greet, and direct visitors with professionalism and warmth Anticipate guest needs and create a seamless arrival experience Manage visitor access, badging, and security protocols Maintain a polished, organized, and professional lobby environment Serve as a knowledgeable resource for employees, guests, and executives Handle incoming calls and inquiries with confidence and clarity Receive, log, sort, and distribute mail and packages Coordinate shipping (including international) and courier services Maintain tracking systems and ensure accurate documentation Support loading dock organization and safety standards Assist with inventory and supply coordination Build effective working relationships with delivery vendors Ability to sit or stand for extended periods throughout the workday Ability to work under pressure and meet time-sensitive deadlines during peak periods Ability to remain on feet for up to 8 hours per day, excluding breaks Ability to lift up to 50 lbs. as needed Maintain a professional appearance in line with dress code standards All employees must adhere to Health, Safety, Environment, and Quality (HSEQ) policies and procedures to ensure a safe and compliant work environment. This includes following safety protocols, maintaining environmental responsibility, and upholding quality standards in all tasks. Employees are expected to actively participate in HSEQ training and report any potential hazards or compliance concerns.
