We are seeking a dependable and proactive professional to provide on-site administrative and operational support for our Sudbury, Massachusetts office.
Position Summary
The Temporary Part-Time Administrative Assistant / Operations Assistant provides broad administrative and operational support to ensure the smooth day-to-day functioning of AHP's Sudbury office. This role serves as an important on-site resource for staff by assisting with mail management, office coordination, inventory monitoring, conference room readiness, facilities follow-up, and technology support activities.
This position works under general supervision and is expected to handle moderately complex administrative tasks while exercising sound judgment, professionalism, and attention to detail. The role requires strong communication, organizational, and customer service skills.
Responsibilities
Manage incoming and outgoing mail, including:
Legal notices
Benefits-related correspondence
Tax and unemployment notices
Scanning and electronic distribution of mail
Monitor and maintain office supply, kitchen, and inventory levels.
Restock common areas and notify appropriate personnel when supplies require replenishment.
Maintain organization and cleanliness of kitchen, breakroom, and shared office spaces.
Coordinate conference room setup and readiness for meetings and events.
Reorganize and restock meeting spaces following use.
Assist with light office upkeep prior to scheduled professional cleaning services.
Support staff with administrative requests and general office needs.
Coordinate and assist with on-site IT activities, including:
Equipment installations
Hardware deployment
Office technology support logistics
Door access and security coordination
Assist employees with submitting internal support requests and service tickets when appropriate.
Monitor stock and equipment inventory and coordinate deliveries or installations.
Follow up on facilities and maintenance requests to ensure timely resolution.
Receive and direct visitors, vendors, and service providers.
Schedule meetings and coordinate on-site logistics as needed.
Prepare administrative reports, documentation, and presentation materials.
Respond to correspondence and route requests to appropriate departments.
Perform other administrative, operational, and office support duties as assigned.
Qualifications
Education
High school diploma or equivalent required.
Associate degree or relevant administrative training preferred.
Experience
Two to four years of administrative, office coordination, operations, or customer service experience preferred.
Experience supporting office operations in a professional environment preferred.
Experience managing office supplies, facilities coordination, or mail distribution is highly desirable.
Experience working with Microsoft Office applications, including Outlook, Word, Teams, and Excel.

This position is primarily based in AHP's Sudbury, Massachusetts office and requires regular on-site presence.
The role involves
Frequent walking throughout the office.
Receiving deliveries and handling office supplies.
Lifting and moving office materials weighing up to 25 pounds.
Coordinating with employees, vendors, facilities personnel, and IT support staff.
Working independently while supporting a geographically distributed workforce.
Schedule and Appointment Details
Temporary position.
Expected duration: Approximately three (3) months.
Approximately 10 hours per week.
Two (2) hours per day, Monday through Friday.
Preferred working hours between 12:00 p.m. and 2:00 p.m., although some flexibility may be available.
Reports to the Operations Manager.

Compensation
Hourly Range: $24.00-$30.00 per hour

Actual compensation will be determined based on qualifications, experience, internal equity, and organizational needs.
Location
All work must be performed within the United States or its territories. Employees are required to reside in and perform work from a location within the United States during their employment.

Applicants must be currently authorized to work in the United States.
