About the role
Position Overview:
We are seeking a highly organized and proactive Executive Assistant to provide administrative and operational support to senior executives within a fast-paced financial services environment. The ideal candidate will be detail-oriented, professional, and comfortable managing multiple priorities while handling confidential and sensitive information with discretion.
Key Responsibilities:
Provide comprehensive administrative support to senior-level executives, including complex calendar management, meeting coordination, and scheduling. Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and detailed itineraries. Prepare and process expense reports and reconcile corporate card expenses in a timely manner. Coordinate internal and external meetings, conference calls, client meetings, and executive events. Manage incoming communications and assist with prioritizing time-sensitive requests and correspondence. Prepare, edit, and format presentations, reports, meeting materials, and other business documents. Serve as a key point of contact between executives and internal teams, clients, vendors, and other external stakeholders. Assist with meeting preparation, including agendas, materials, conference rooms, catering, and technology. Maintain confidential files, records, and sensitive business information. Anticipate executive needs, proactively resolve scheduling conflicts, and ensure appropriate follow-up on outstanding items. Partner with other Executive Assistants and administrative professionals to coordinate schedules and support broader team initiatives. Assist with ad hoc projects and additional administrative responsibilities as needed.
Requirements:
5+ years of Executive Assistant or senior-level administrative support experience. Prior experience within financial services, banking, investment management, private equity, asset management, or a similar professional services environment strongly preferred. Experience supporting senior executives in a fast-paced, high-volume environment. Strong calendar management, travel coordination, and expense reporting experience. Advanced proficiency in Microsoft Outlook, Word, Excel, Power Point, and Teams. Excellent written and verbal communication skills. Exceptional organizational skills and attention to detail. Ability to manage competing priorities and adapt quickly to changing schedules and business needs. High level of professionalism, judgment, discretion, and confidentiality. Strong interpersonal skills with the ability to communicate effectively with senior leadership, clients, and colleagues at all levels.
