POSITION: Finance ManagerREPORTS TO: Deputy Director EMPLOYMENT CATEGORY: Full-time, ExemptPOSITION SUMMARYThe Finance Manager is responsible for the organization's day-to-day financial operations, including accounting, financial reporting, payroll processing, and employee benefits administration. This role ensures accurate and timely financial records, effective internal controls, timely payroll and vendor payments, compliance with nonprofit accounting standards and regulatory requirements, and effective coordination with auditors, board committees, and external service providers. The Finance Manager works closely with the Executive and Deputy Directors to support budgeting, financial analysis, reporting, and organizational decision-making while providing reliable payroll and benefits support to staff.
PRIMARY RESPONSIBILITIES: Financial Management & Accounting Manage day-to-day accounting activities in Quick Books Online and maintain accurate and complete financial records in accordance with generally accepted accounting principles (GAAP) and nonprofit accounting requirements. Process deposits, pay bills, and manage accounts payable and receivable. Prepare timely and accurate monthly financial statements, budget-to-actual reports, account reconciliations, and financial analyses for the Deputy and Executive Directors. Provide budget monitoring, cash-flow monitoring, and financial trend analysis to support leadership decision-making. Work with the Deputy and Executive Directors to develop and manage the annual organizational budget. Coordinate the annual financial statement audit and other required audits, including preparation of audit schedules, supporting documentation, and responses to auditor requests. Maintain and strengthen internal controls, financial policies, and accounting procedures to safeguard organizational assets and promote consistent financial practices. Lead monthly and year-end close activities, including journal entries, 1099s, accruals, balance sheet reconciliations, and supporting schedules. Monitor restricted funds and grant activity, including expenditures against approved budgets, supporting documentation, and financial reporting to government and private funders as needed. Oversee accounting for donated food, in-kind contributions, and inventory, as applicable, in accordance with nonprofit accounting requirements. Oversee financial/payroll/employee benefits outside vendors. Oversee employee retirement plan (Simple IRA), compliance, and outside vendors. Ongoing meetings with Executive Director, Deputy Director, and Department Directors to discuss budget and funding. Payroll Administration Oversee new employee on-boarding document completion and appropriate filing for payroll and employee benefits. Ensure accuracy for modifications to payroll, fringe benefits, employee and employer contributions. Process and review payroll on a regular schedule, ensuring accuracy and timeliness of employee pay. Maintain accurate payroll records, including hours worked, wages, deductions, and accruals for fringe benefits. Submit employee and employer contributions for fringe benefits. Reconcile payroll reports and resolve discrepancies as needed. Oversee payroll tax filings and year-end reporting, including review and reconciliation of Forms W-2 and other required filings prepared through the organization's payroll provider. Ensure compliance with federal, state, and local payroll requirements. Compliance, Reporting & Governance Support Maintain documentation to support audits, compliance reviews, and regulatory filings. Support compliance with applicable payroll, employee benefits, nonprofit financial, and regulatory requirements, coordinating with external providers and advisors as appropriate. Work with the Finance and Audit Committees of the Board, as needed.
Other Responsibilities: Assist the Executive Director and Deputy Director with special projects related to finance, HR, or internal operations. Support special events and grant-related budget proposals and financial reporting, as needed. Collaborate closely with each department on procurement tracking, monthly reporting and reconciliation. Other duties as assigned.
QUALIFICATIONS: Bachelor's Degree in Accounting, Finance, Business Administration, or a related field preferred; an equivalent combination of education and relevant experience may be considered. CPA strongly preferred. Minimum of 3-5 years of progressively responsible accounting or financial management experience; nonprofit accounting experience strongly preferred. Strong knowledge of GAAP and nonprofit accounting principles, including financial statement preparation, restricted net assets, grant accounting, payroll processing, and benefits administration. Experience with Quick Books Online, Salesforce, online bill payment systems (e.g., Bill.com), and payroll/HR systems (e.g., ADP, Gusto, Paychex, Paylocity); strong proficiency with Microsoft Excel. Experience supporting an annual nonprofit financial statement audit highly desirable. High level of accuracy and attention to detail, strong analytical and communication skills, and ability to handle confidential information.
