Finance and Office Administrator New York, NY$300,000–$400,000 The Finance and Office Administrator will be responsible for overseeing the financial and operational functions of a New York City office. Reporting to the Office Managing Partner and Director of Administration, this position will provide leadership across several key areas of office operations and work closely with firm leadership and firmwide departments. Finance and
Office Administrator Responsibilities: Provide leadership and oversight to several office functions and managers, including Human Resources, Facilities, Records, Accounting & Billing, and Conference Services. Manage the development, analysis, and ongoing monitoring of the office budget, providing financial information and recommendations to firm leadership. Oversee day-to-day financial activities, including accounts receivable, accounts payable, employee expense reimbursements, and trust accounting, in partnership with the Accounting & Billing Manager. Collaborate with firmwide Finance, Billing, Collections, and Intake teams to support compliance and ensure effective financial processes. Partner with the Collections team to monitor and address client receivables and collection matters as needed. Contribute to the office's strategic planning and overall business initiatives. Work closely with Human Resources leadership on office policies, procedures, employee concerns, and initiatives that support a positive workplace. Oversee office facilities and infrastructure, including security, safety, equipment, supplies, and vendor relationships, in partnership with the Facilities Manager. Coordinate and oversee significant office events, meetings, and firm-related functions. Support additional projects and initiatives as needed by firm leadership. Finance and
Office Administrator Requirements: Bachelor's degree in Accounting, Finance, Business, or a related field; Master's degree is a plus.10+ years of experience in law firm operations, office administration, or a closely related environment. Strong financial and analytical skills, with experience overseeing budgets and financial operations. Excellent communication and interpersonal skills, with the ability to work effectively with attorneys, firm leadership, employees, clients, and cross-functional teams. Strong leadership and relationship-building abilities, with the ability to influence others and work collaboratively across departments and offices. Highly organized with strong project management skills and the ability to effectively manage multiple priorities and deadlines. Demonstrated ability to exercise sound judgment, maintain confidentiality, and handle sensitive financial and personnel matters with discretion and professionalism. Strong problem-solving skills and the ability to navigate competing priorities in a fast-paced, matrixed environment. Advanced proficiency with Microsoft Office and other business systems, with the ability to learn and adapt to new technology. Ability to work occasional extended hours as needed to support business and office operations.
