Prior secretarial or administrative experience preferred, particularly in a school district or transportation office. Strong technology skills, including proficiency in Microsoft Word, Excel, Google Workspace, and PDF tools, and the ability to learn district transportation and administrative software. Excellent telephone, written communication, and interpersonal skills. Strong organizational skills, attention to detail, and the ability to manage multiple assignments and competing deadlines. Ability to communicate professionally and courteously with families, students, staff, drivers, and vendors. Ability to work collaboratively across departments, follow administrative direction, and take initiative within assigned responsibilities. Knowledge of efficient office procedures, recordkeeping, and office equipment. Ability to maintain confidentiality and exercise sound judgment. Successful completion of required criminal history and S414 reviews.
Performance Responsibilities: Serve as an initial point of contact for the Transportation Department, responding to routine inquiries and referring matters requiring supervisory attention. Receive and route incoming calls, emails, and correspondence; maintain accurate records of concerns and follow-up needs. Assist with maintaining student transportation records, route lists, bus stop information, and other departmental records. Prepare and distribute transportation correspondence, notices, reports, and approved schedule or route updates. Assist with coordinating transportation information with schools, families, drivers, contractors, and other district departments. Provide clerical support for nonpublic and out-of-district transportation, as assigned. Enter, update, and verify information in district systems and spreadsheets to support accurate and timely departmental operations. Maintain an organized, current filing system for departmental records and documentation. Assist with processing departmental purchasing documents, invoices, and related records, as assigned. Schedule meetings, prepare materials, and track follow-up activities. Maintain confidentiality of student, personnel, and departmental information. Perform other related duties assigned by the Transportation Supervisor or district administration.
