About the Role: United Nursing Solutions, Inc. is seeking a dependable, organized, and detail-oriented Administrative Operations Assistant to provide direct support to the Director of Operations and assist with the day-to-day administrative operations of our home healthcare agency. This is a full-time, in-office position for someone who is comfortable managing multiple responsibilities, communicating with employees and participants, maintaining accurate documentation, and helping keep daily office operations organized and running efficiently.
Responsibilities: Provide direct administrative support to the Director of Operations. Answer incoming telephone calls, take accurate messages, respond to routine inquiries, and direct calls appropriately. Assist with caregiver scheduling, schedule changes, call-outs, and staffing communications. Maintain organized and accurate employee and participant records. Assist with new-hire paperwork, onboarding documentation, employee files, and routine HR administrative functions. Assist with participant intake paperwork, referrals, and required documentation. Perform data entry and maintain accurate electronic and paper records. Assist with reviewing employee timekeeping records and gathering documentation needed for payroll processing. Assist employees with routine scheduling, timekeeping, and administrative questions. Communicate professionally with participants, caregivers, families, support professionals, and other healthcare/community partners. Monitor and organize incoming emails, faxes, forms, and other office correspondence. Maintain confidentiality of participant and employee information. Assist with filing, scanning, copying, document preparation, spreadsheets, and general office organization. Follow established agency policies, procedures, and documentation requirements. Perform additional administrative and operational duties as assigned.
Qualifications: Previous administrative, office, clerical, or customer-service experience required. Healthcare, home healthcare, medical office, or similar experience is preferred but not required. Strong computer skills and proficiency with Microsoft Word, Excel, and Outlook. Ability and willingness to learn agency-specific software, scheduling, timekeeping, payroll, and electronic documentation systems. Strong organizational skills and attention to detail. Excellent verbal and written communication skills. Ability to handle confidential employee and participant information appropriately. Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced office environment. Dependable attendance and punctuality are essential. Professional and respectful communication when working with employees, participants, families, and outside professionals. Experience with home healthcare scheduling, EVV/timekeeping systems, payroll systems, Medicaid-related documentation, or similar healthcare administrative software is a plus; training on agency-specific systems will be provided.
