Property Manager – oversees daily operations, tenant relations, maintenance, finances, and compliance, with an emphasis on controlling costs and keeping building systems reliable. Primary job duties: Building operations and maintenance Conduct regular property inspections and identify maintenance, safety, and appearance issues. Oversee heating, air conditioning, plumbing, electrical systems, elevators, roofs, and common areas. Establish preventive maintenance schedules and confirm that repairs are completed properly. Prioritize recurring problems, aging equipment, and deferred maintenance. Tenant relations Serve as the primary contact for tenant requests, complaints, and operational concerns. Respond promptly, track work orders, and follow through until issues are resolved. Notify tenants of repairs, service interruptions, construction, and building policy changes. Coordinate move-ins, move-outs, deliveries, and access for tenant contractors. Lease administration and leasing support Understand landlord and tenant maintenance obligations under each lease. Coordinate with lease administration on expirations, renewals, insurance certificates, and tenant responsibilities. Negotiate lease transactions with Tenants and Brokers. Support brokers with property access, tours, space readiness, and building information. Oversee tenant alterations and build-outs within ownership’s approval procedures. Staff supervision Supervise superintendents, maintenance personnel, porters, cleaning crews, and security staff. Assign work, inspect results, and monitor schedules, overtime, and performance. Ensure staff understand building systems, emergency procedures, and service expectations. Vendor and contractor management Obtain and compare proposals for repairs, maintenance, and service contracts. Verify contractor insurance, qualifications, and required licenses. Monitor work quality, schedules, and costs. Confirm satisfactory completion before approving invoices within authorized limits. Budgeting and financial oversight Prepare annual operating budgets and capital improvement recommendations. Review monthly expenses, explain budget variances, and identify cost savings. Monitor utility consumption, service contracts, and repair spending. Coordinate with accounting on invoices, rent collections, arrears, and lease-related charges. NYC compliance and inspections Maintain a building-specific calendar of required inspections, testing, filings, and renewals. Coordinate applicable boiler, elevator, and façade inspections with qualified professionals. Track violations and corrective work through documented closure. NYC DOB requires recurring inspections and maintenance for applicable building systems. Coordinate with compliance staff, engineers, and contractors on applicable DOB, FDNY, and other agency requirements. Capital projects Recommend repairs and improvements based on safety, urgency, tenant impact, and cost. Coordinate approved roof, façade, elevator, mechanical, and common-area projects. Track budgets, progress, change orders, warranties, and closeout documents. Emergency response and reporting Coordinate responses to leaks, floods, outages, elevator interruptions, and other emergencies, including after-hours coverage. Document incidents and assist with insurance claims. Provide management with regular reports on building conditions, tenant concerns, expenses, violations, and projects. Escalate urgent issues and decisions requiring ownership approval promptly.
Qualifications:
Demonstrated experience in property management or real estate operations. Strong skills in tenant relations, conflict resolution, and customer service, with the ability to handle escalated issues professionally. Proficiency in budgeting, financial reporting, and basic accounting principles. Knowledge of building operations, maintenance coordination, vendor management, and health and safety regulations. Excellent organizational, time management, and problem-solving skills, with attention to detail and follow-through. Effective written and verbal communication skills, including the ability to prepare clear emails, notices, and reports. Comfort using property management software and standard office tools (e.g., Microsoft Office, YARDI, or similar applications).Experience working in New York City real estate or familiarity with NYC housing and building regulations is highly beneficial. Bachelor’s degree in business, real estate, or a related field, or equivalent professional experience in property management.
Starting Salary: $110,000.00 plus health benefits and a 401 (k) plan.
