We're looking for an organized, detail-driven Office Assistant who thrives behind the scenes and takes pride in keeping things running smoothly. If you enjoy a fast-paced environment, variety in your day, and being a trusted go-to person for the leadership team, we'd love to hear from you.The Office Assistant supports the General Manager and leadership team with the daily administrative, financial, and compliance operations of a fast-paced airport food and beverage location. This role handles clerical work, recordkeeping, accounts receivable, and cash-handling processes, and serves as the liaison between the location and corporate support departments—keeping back-office operations accurate, organized, and audit-ready.Key Responsibilities:Prepare and complete daily bank deposits and bank runs, ensuring secure handling of company fundsReconcile daily cash activity and manage accounts receivable, tracking outstanding payments and supporting documentationReview, organize, and track invoices, expenses, vendor paperwork, and financial records; flag discrepancies to leadershipMaintain organized filing systems (digital and physical) for operational, financial, compliance, and employee recordsManage office supplies and general office administrationSupport payroll documentation, timekeeping follow-up, and onboarding paperwork for new hiresCoordinate interview scheduling, candidate outreach, and applicant trackingPrepare reports and spreadsheets and provide direct administrative support to the General ManagerCommunicate with corporate departments (HR, Payroll, Finance, and Operations) as neededEnsure documentation is audit-ready and support compliance reviews and internal auditsMaintain confidentiality and comply with airport authority, TSA, and company security requirementsQualifications:High school diploma or GED required; Associate degree in business, accounting, or a related field preferredAdministrative, clerical, bookkeeping, or office management experience preferred (hospitality, restaurant, retail, or airport a plus)Experience with invoices, reconciliations, deposits, and cash handlingStrong organizational skills, attention to detail, and ability to meet deadlines in a fast-paced environmentProficient in Microsoft Office, particularly Excel and WordValid driver's license with an acceptable driving recordMust pass a comprehensive background check and obtain/maintain all airport security, badging, and TSA requirements for access to secured areasPhysical Requirements:Ability to sit, stand, and move throughout the workdayAbility to occasionally lift and carry up to 25 poundsAbility to travel locally for bank runs and errandsWork Environment:Fast-paced airport hospitality environment with regular interaction with leadership, team members, vendors, and corporate departments.
