About the role
POSITION OVERVIEWThe Office Administrator will report to the Sr. Coordinator, Office Administration. This individual must possess mature judgment and strong interpersonal skills. This individual will interact with a broad range of people, including employees, customers, and vendors, both individually and in groups. This individual must have the ability to work independently and manage competing priorities.KNOWLEDGEThe individual ideally should possess a working knowledge of facilities management or office administration. This individual must have knowledge of MS Office and other related software applications.RESPONSIBILITIES AND ESSENTIAL DUTIES· Greet visitors and employees.· Answers and directs telephone calls, delivers messages, schedules conference calls, and distributes incoming mail.· Maintain security by adhering to visitor guidelines.· General administrative office duties to include electronic filing, organizing, binding including routine reports and other administrative responsibilities as requested.· Manage meeting setup forms in Outlook as well as meeting room maintenance.· Schedule and coordinate meetings/appointments, including determination of special equipment needs and room accommodations.· Submit and process gym waivers for employees, ensuring all gym waiver documentation is accurately recorded and stored.· Monitor and manage tickets related to SPL and CCL via the Office Services ticketing system.· Assign tickets to the appropriate team member for resolution as needed.· Assist with onboarding new parkers, including account setup and documentation.· Assist with employee event plans and setup· Support day-to-day building operations· Update calendar to reflect meeting setups· Assist in finding and scheduling conference rooms as requested· Submitting dock requests for vendors to building management· Operate MS Office and Email systems· Distributes office supplies, and mail to company personnel and/or designated drop-off points as required.· Performs furniture/conference room set up· Answers customer questions regarding status or feasibility of job requests.· Maintain copy rooms by keeping neat and well stocked.· Performs duties related to the shipping and/or receiving of materials in a mailroom type environment.· The duties and responsibilities described are not a comprehensive list and additional tasks may be assigned from time to time; or the scope of the job may change as necessitated by business demands.QUALIFICATIONS (EDUCATION, EXPERIENCE AND SKILLS)· Education and Certifications: High school diploma or equivalent.· Experience: At least three (3) years of related work experience required.· Skills:o Exceptional customer service.o Detail oriented with effective time management and organizational skills.o Possess excellent verbal and written communication skills.o Intermediate to advanced knowledge of MS Office (Word, Excel, Outlook), working knowledge of Adobe Illustrator, and the ability to learn new software and applications is preferred.
