Key Responsibilities: Handles outgoing mail, visitor ID badges, work with new hires, records management. Interfacing with public (staff, vendors, agency officials and higher ups, UPS/Fed Ex, customers off the street).Handle fleet reservations (six vehicles onsite), track mileage. Coordinate large meetings with staff - set up water, equipment, tidy spaces, etc. Email communications to all staff within the building.
Required Skills: 1-5 years of relevant administrative experience. Excellent verbal and written professional communication skills. Must be timely and highly professional (cannot be constantly late, calling out, etc.).Highly organized. Microsoft Office Suite (Outlook, Excel, Word).Facilities team is seeking a Front Desk Office Administrator to handle frontline communications with visitors and internal staff. The Office Admin will report directly to the Facilities team and provide administrative support and visibility to the public entering the offices.
Mandatory Qualifications: 1 to 5 years prior experience working at a front desk reception area Experience dealing with the public and visitors Professional acumen Highly organized and detail-oriented Strong verbal and written communication skills Reliability High School Diploma or equivalent
Responsibilities: Receiving guests at the front desk and guiding them through security protocols while on-site. Accepting and delivering mail; processing UPS and Fed Ex transactions. Directing calls and triaging requests. Performing data entry and reporting as assigned. Handling organization-wide announcements as it pertains to buildings and facilities. Handling some kitchen organization, managing compost activities up to and including working with compost buckets. Other duties as assigned that contribute to the key outcomes of the facilities team.
