About the role
IP Legal Practice Assistant, Newark, NJ - One day in office, four days remote schedule My client, a nationally recognized law firm, is seeking an IP Legal Practice Assistant to support its Intellectual Property team in a fast-paced, deadline-driven environment.
Responsibilities:
Prepare and file U.S. patent applications with the USPTO.Coordinate execution of patent documents, including Assignments, Declarations, and Powers of Attorney. Draft patent and trademark-related correspondence and documents. Manage and monitor IP docket deadlines using CPI and other docketing systems. Review filing receipts and USPTO notices for accuracy. Conduct USPTO research and assist with administrative IP matters. Generate reports and maintain electronic IP files and records. Prepare, revise, proofread, and format legal documents and correspondence. Support new matter intake, conflict checks, engagement letters, and file openings. Maintain attorney calendars, deadlines, meetings, and other scheduling needs. Collaborate with attorneys, paralegals, and team members to ensure efficient workflow and exceptional client service.
Requirements:
High school diploma or equivalent required. Minimum 3 years of Intellectual Property Legal Assistant or Legal Practice Assistant experience. Experience supporting patent prosecution matters preferred. Strong proficiency in Microsoft Office. Experience with CPI, Net Documents, Practice Link, or similar legal software is a plus. Excellent organizational, communication, proofreading, and time management skills. Ability to manage multiple priorities and deadlines with strong attention to detail.
