Essential Functions: Operate high-volume mail and finishing equipment, including mail inserters, sorters, postage meters, envelope printers, scales, and related systems. Perform packaging, posting, folding, insertion, labeling, mail merge, and other document finishing activities. Coordinate automated and manual processes for finishing, mailing, fulfillment, and distribution of client materials. Process incoming and outgoing mail, documents, packages, and supplies; deliver and pick up mail on scheduled runs. Perform address validation, barcode lookup and quality review, mail cleansing, and address maintenance using specialized software. Prepare mail and packages for USPS, express, local delivery, and alternative courier services. Track, trace, and resolve mailing and shipping issues; maintain logs and accountable mail records. Perform electronic mail distribution, including opening, mail preparation, scanning, and distribution. Fulfill kitting, assembly, packaging, shipping, and tracking requirements. Perform shipping and receiving activities using automated tracking systems. Complete shipping forms and enter required information into shipping terminals. Monitor, order, and replenish mailroom and shipping supplies. Perform quality checks on outbound mail and verify internal mail addresses. Manage barcode tracking or face scanning of incoming mail and packages. Operate, clean, and maintain mail and shipping equipment and contact service personnel when repairs are required. Recommend workflow improvements to increase efficiency, reduce costs, and optimize production. Serve as the focal point for special or unique mailings and shipments. Arrange courier or shipping services to meet customer requirements. Follow all mailroom, shipping, and security procedures. Train and mentor other mailroom associates as needed.
Skills: Ability to lift and move up to 50 pounds. Ability to read, write, and follow English instructions. Intermediate PC and Internet skills, including downloading files, completing online forms, and performing mail merges. Intermediate Microsoft Word and Excel skills, including document formatting, tables, columns, worksheets, charts, basic formulas, and data entry. Working knowledge of Microsoft PowerPoint and applications such as Adobe Acrobat, file conversion, or graphic arts software. Basic knowledge of network functions, such as adding or removing a network printer. Basic knowledge of Digital Front Ends and functional knowledge of Mac systems when required. Ability to operate finishing equipment, inserters, postage meters, envelope printers, scales, Pitney Bowes mail management systems, and FedEx shipping systems. Ability to use production mail software and customized mailing applications. Strong customer service and communication skills. Ability to manage multiple tasks, prioritize work, and perform duties with minimal supervision. Ability to estimate and schedule mailing jobs, including staffing, job routing, and time requirements. Ability to determine appropriate packaging based on established standards. Ability to perform accurate data entry and maintain production and shipping records. Ability to drive when required by the assignment. Experience 12 years of experience with mailroom procedures, production mail, finishing operations, and mail equipment. Experience operating mail and finishing equipment in a high-volume production environment. Experience with mailing, shipping, fulfillment, tracking, and distribution processes preferred.
Education: High School diploma or equivalent required. Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
