Growing together.We are seeking an experienced Executive Assistant to provide high level administrative support to senior leaders, managing complex calendars, travel, meetings, and confidential communications with professionalism and sound judgment. The ideal candidate brings strong executive presence, attention to detail, and the ability to operate effectively in a fast paced, multi stakeholder environment.This position follows a hybrid schedule with four in-office days per week.Primary Responsibilities:Provide direct administrative support to C-Suite Leaders, VP and Senior leaders, including the CIO, in a high-volume, high-priority environmentManage complex calendars across multiple time zones, resolving frequent meeting conflicts by understanding leader priorities and anticipating schedule needsCoordinate domestic and international travel and flight logistics, including complex itineraries, changes, and last-minute adjustmentsPrepare, submit, and reconcile expense reports; support invoicing and other administrative financial processes as neededPlan and support meetings (virtual and in-person), including scheduling, agendas/materials, room/technology coordination, and follow-upsDraft, edit, and format polished executive-ready documents and presentations; maintain organized files and reference materialsHandle sensitive information with discretion; represent leaders professionally with internal and external stakeholdersYou'll be rewarded and recognized for your performance in an environment that will challenge you and give you clear direction on what it takes to succeed in your role as well as provide development for other roles you may be interested in.Required Qualifications:High school diploma or GED5+ years of progressively responsible administrative support experience, including direct support to C-Suite Leaders and VP or Senior leadersAdvanced calendar management experience across multiple time zones, including resolving frequent schedule conflicts and shifting prioritiesTravel coordination experience (domestic and international), including flight logistics and complex itinerariesExpense management experience, including reconciliation and timely submission of expense reportsAdvanced proficiency with Microsoft Outlook, Teams, Word, Excel, and PowerPointDemonstrated professionalism and discretion when handling confidential information and engaging with senior stakeholdersCentralized EA model experience supporting senior leaders and partnering effectively with other administrative professionalsMulti-leader support experience, including balancing competing priorities in a complex, matrixed organizationCorporate travel and expense systems experience (Concur, Ariba, AMEX Global Travel), including invoice processingCollaboration and knowledge tools proficiency (SharePoint, OneNote, Teams) to maintain well-organized, accessible informationMentoring/onboarding experience to support administrative best practices and team continuityPreferred Qualifications:Experience supporting multiple leaders simultaneouslyFamiliarity with SharePoint, OneNote, or other collaboration toolsExperience mentoring or guiding other administrative professionalsAbility to anticipate executive needs and act independently with minimal directionPay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements).
