A Day in the Life of a Payroll SpecialistA Day in the Life of a Payroll Specialist is dynamic and detail-oriented, requiring a deep understanding of payroll operations, compliance, and timekeeping systems. Each day begins with processing and maintaining weekly and bi-weekly multi-company, multi-state payrolls using ADP software, ensuring that every entry is accurate and every deadline is met. From importing and reconciling pay data from various timekeeping systems to handling complex data compliance issues, this role is essential in supporting the integrity of the company's payroll functions and adhering to company policies, as well as federal, state, and local laws. The Payroll Specialist is also the go-to person for resolving a wide range of HR-related payroll issues, including unemployment claims, employment verifications, garnishments, and both hiring and termination processes. A strong grasp of Davis-Bacon and prevailing wage laws is critical, as is the ability to process and manage prevailing wage reports with precision. This position also requires daily interaction with the BOLT timekeeping system, ensuring records are reviewed and managed efficiently. Responsibilities:
- Manage payroll processing, including new hires, terminations, bonuses, adjustments, garnishments, and out-of-cycle checks
- Reconcile payroll and general ledger accounts; troubleshoot discrepancies and ensure audit-ready records
- Review time clock reports for accuracy and make necessary corrections
- Prepare and file Prevailing Wage and Certified Payroll through systems such as LCP Tracker and Washington L&ITrack and document compliance with required training, certifications, licensure, and assessments
- Maintain employee records, including leaves of absence, non-taxable wages, and employment verifications
- Develop and update payroll policies, procedures, and reporting tools
- Generate regular and ad hoc payroll/HR reports to support leadership and compliance needs
- Coordinate with HR Operations to ensure accurate employee data and absence administration
Experience & Education:
- 3+ years' experience with payroll systems; job costing experience preferred 1+ years' experience in Human ResourcesHCM/ADP experience and CPP certification preferred
- Bilingual preferred
- Associate's and Bachelor's degree, or equivalent work experience
