Position: Stores Clerk Primary Report to: Stores Superintendent Primary Supervision of: None Required Qualification: High School Diploma or equivalent experience and 5 years manufacturing clerical experience. Responsibilities / Key Activities
Primary Responsibilities: Understand and adhere to all company policies, procedures, and safe work practices. Maintain Stores standards and ensure a safe, clean, and organized work environment. Maintain the Stores inventory management system by creating new material records, updating existing records, and removing obsolete materials as required. Ensure inventory and material master data accuracy within the Stores system. Process and maintain Stores documentation related to receiving, shipping, issues, returns, transfers, and inventory adjustments. Monitor inventory accuracy through cycle counts, physical inventories, reconciliations, and discrepancy investigations. Assist with inventory adjustments and ensure all supporting documentation is completed and maintained accurately. Participate in annual inventory counts and ongoing cycle count programs. Generate and review daily MRP requirements and place orders for approved Stores stock materials to support maintenance and operational needs. Work closely with Procurement, Accounting, Receiving personnel, and vendors to resolve purchase order discrepancies, receiving holds, invoice discrepancies, and three-way matching issues. Respond promptly to inquiries from Accounting, Procurement, Operations, and suppliers to minimize delays in purchasing, receiving, and payment processing. Contact vendors as necessary to resolve receiving discrepancies, missing documentation, late deliveries, and purchase order issues. Expedite open purchase orders and provide status updates on critical materials. Scan and electronically file packing slips, receiving records, and supporting documentation to maintain audit-ready records. Assist with fuel inventory tracking and environmental reporting requirements. Coordinate activities with the Stores Superintendent to ensure efficient Stores operations and support maintenance and production objectives. Provide backup support for Stores procurement activities as required. Act as backup for the Stores Superintendent during absences, including coordinating daily priorities, addressing inventory and purchasing issues, and supporting operational needs. Maintain confidentiality of company information. Participate in continuous improvement initiatives within Stores and Supply Chain operations. Perform other duties as assigned.
Material Handling Responsibilities: Provide short-term backup support for Stores Material personnel as directed by the Stores Superintendent. Operate forklifts and other material handling equipment in accordance with company procedures and safe work practices. Receive, inspect, store, issue, and deliver materials while ensuring inventory accuracy and proper handling. Understand product identification requirements and ensure materials are handled and stored in a damage-free manner. Follow established loading, unloading, shipping, receiving, trailer preparation, and material handling procedures. Assist with annual inventories, cycle counts, material storage audits, and material location verification activities. Ensure materials are properly identified, stored, and maintained in designated locations. Maintain housekeeping in assigned work areas to a safe and professional standard.
