Venue Coordinator Job Description & ResponsibilitiesOVERVIEW: The Venue Coordinator position is one built on establishing strong relationships with brides, grooms, family and other bridal party members. This relationship building starts by responding to couples as they are assigned (usually at the 6 month out point) and continues through until the celebration. As a Venue Planner you are the person that makes special days happen. The position is an hourly position with significant performance bonuses.
RESPONSIBILITIES: 1. Create the Experience- Work with wedding party to personalize their event. This includes but is not limited to:- Designing tables settings and linens-Set up and lay out of ceremony, yard decor, dinning and reception-Coordinate with vendor and client to lay out timeline for event-Decorate or provide needed details to personalize bridal suite, grooms room and all other same day work.-Handle the flowers on the centerpieces and set up details such as head table, sign in table, cake table and setting up the ceremony decor.-In charge of all personal things clients bring in for the wedding day as far as set up.-Execute all paperwork in timely and correct manner to ensure the success of the team.2. Conduct Tasting- Establish menu for event by scheduling and participating in a tasting event. Consultant will work with client to make choices within their budget and expectations.3. Provide Additional Client Communications- Meet and communicate with client as needed to insure a successful event and client satisfaction. This includes responding to all client inquires within 24 hours. This also includes the final check in meeting within 30 days of event.4. Work with Venue Assistants- After working with client to establish the plan for the event communicate with Assistants and vendors for set up and successful implementation of the event plan.5. Problem solving- consistently demonstrate a “figure it out mentality” in which the Planner plays a active roll in assisting, problem solving, de-escalating, and taking control of situations in a way that increases the client experience while adhering to Superstition Manor policies. 6. Customer Service- Assist in any way needed as an individual and as a team member to guarantee the successful completion of events at Superstition Manor. Show up with a positive attitude, a team player mentality, and put the client first.
SKILLS: Prerequisite 1. Great communication skills presented by the ability to listen and understand the needs of prospects and clients 2. Passion for helping people plan and create their special event 3. Great with follow up and working with people through issues and concerns 4. Willing and able to train and work with reporting staff 5. Enjoys working as a team to accomplish company and client objectives 6. Able to accomplish basic math and writing skills need to write up contracts 7. Good with fast paced and at times stressful situations 8. Comfortable communicating on the phone, email and text 9. Able to complete needed documentation in Bright Venue system 10. Presentation skills need to explain and promote the unique benefits of Superstition Manor and our servicesCOMPENSTATION:Venue Coordinators receive a competitive hourly wage. Additionally, they receive commissions on all events they sell or service (3%) as a reflection of the extra time it takes to maintain the client relationship. Lastly, they receive substantial tips from their clients. Most Venue Planners make 60K+ their first year with yearly increases.
